The Opportunity

The Administrative Assistant, Legal will be primarily responsible for providing administrative support to the General Counsel/CCO and Legal Team to enable them to achieve their respective duties and responsibilities. This position will report to the Chief Financial Officer in our Cleveland, Ohio office.   This position also supports the Assistant Vice President, Investor Relations and serves as the backup for the position.

Major Duties and Responsibilities:

  • Provide administrative support to assigned executives                   

    • Maintain Outlook calendars and contacts, as well as the internal meeting calendar

    • Schedule on-site and off-site meetings; To include the coordination of attendee calendars creation of meeting material, reservation of meeting space and/or conference lines, catering coordination and scheduling of travel for all attendees

    • Arrange travel for assigned executives and complete expense reports

    • Organize and maintain files                                           

  • General Administrative Duties                                                   

    • Mail/ship

    • Type and format documents

    • Maintain company and compliance records

    • Assistance with administrative maintenance of compliance system and risk management programs                                

  • Prepare and Distribute reports                                                                                                  

    • Prepare reports for presentation, draft memos, edit documents, prepare special notifications as required.

    • Assist with distribution of regulatory documents

  • Backup to AVP, Investor Relations during absence or as workflow dictates

    • Intake, review and process investor subscriptions

    • Communication with consultants

    • Maintain records associated with investor documentation

    • Send prospective investors offering documents for both State and GSA Funds.

    • Send the appropriate maintenance documents as needed (i.e. additional contribution forms, form of redemption, switch to DRIP) and describe the process associated with the maintenance to clients

    • Distribute GSA Fund statements, distribution notices, capital call notices, admittance letters, etc.

    • Review State Fund statements, distribution notices, capital call notices, admittance letters, etc. prior to Ultimus distributing

    • Export data from AIM to complete client-specific databases

    • Bookmark side letters

    • Scan documents to DFS, Fund Administrator, Auditor, etc.

    • Respond to client inquiries in a timely, professional manner

    • Provide updates to internal management and sales team as needed

    • Respond appropriately to clients who submit drafts of subscription agreements

      • Work with legal to review the subscription agreements

      • Communicate to clients any required updates or confirm that documents are in good order


Required Education and Experience:

  • Ability to work well with all levels of internal staff as well as outside clients, consultants, etc.
